Job Description:
The Part-time Student Projects Coordinator will assist the Senior Project Manager on day to day takes on tasks such as:
Document Control and filling
Meeting minutes and communication
Data entry
Duties and Responsibilities:
Project Administration & Coordination
Provide day-to-day administrative support to the SPM and project team;
Assist in maintaining project schedules, trackers, and documentation systems (e.g., Smartsheet);
Update project information and ensure data accuracy across tracking tools.
Meetings & Communication
Schedule meetings, send calendar invites, and coordinate logistic;
Take clear and concise meeting minutes and distribute them to stakeholders;
Support the preparation and distribution of project updates, reports, and communications.
Documentation & Filing
Maintain organized project filing systems (digital and/or physical);
Ensure proper document control, including versioning and archiving;
Distribute project documents to stakeholders as directed.
Presentation & Reporting Support
Assist in preparing presentations, reports, and briefing materials;
Format documents to ensure clarity, consistency, and professionalism.
Financial & Administrative Tracking
Support invoice tracking and maintain records for financial documentation;
Liaise with the Finance Department (as directed) to follow up on invoice processing.
General Team Support
Act as a coordination point for internal communication within the FM team;
Provide ad hoc administrative support as required by the SPM;
Occasionally assist with site visit documentation or reporting if needed.
Required Qualifications:
Currently studying at the Algonquin College of Applied Arts and Technology and currently enrolled in Architecture Technology or Interior Design Studies and the position provides an opportunity to develop this skill. Students in their third semester of 3 or 4 year programs meet the level of training required;
Additional skills; MS-Projects, Smartsheet, MS-Office Suite
This position is funded through the College Student Employment Program (CSEP). Applicants must be eligible for CSEP.
You must be currently enrolled in a full-time program. The following students are not eligible: Second Career, Apprenticeship Programs, International students, Algonquin College employees paying a reduced tuition, Collaborative programs with the University of Ottawa or Carleton University and all programs that are not Ministry-approved;
You must demonstrate a financial need by successfully applying for OSAP or out-of-province financial aid funding;
You must be a Canadian citizen, a Permanent Resident, or a Protected Person/Convention Refugee within the meaning of subsection 95(2) of the Immigration and Refugee Protection Act (Canada) prior to the application deadline date;
